Location:

Well-Safe Solutions, Aberdeen, though there may be a requirement to visit and work at other company locations or supplier’s premises as required.

The postholder must be able to attend our global headquarters in Aberdeen.

Reporting Line:

The Project Document Controller will report directly to the Project Control Manager.

Role:

The Project Document Controller will ensure Document Management best practices and principles are applied across all Projects within WSS.

Key responsibilities:
The Project Document Controller will be required to:
  • Act as the focal point for all project documentation, managing the transmittal of documents to internal and external stakeholders, including clients, contractors, and vendors.
  • Develop, implement and maintain Project Document Control Procedures.
  • Establish and maintain Projects Master Document Register.
  • Allocate and control the document numbering system following Company specific guidelines and Projects requirements.
  • Ensure all project documents are logged, stored, and made accessible through the Electronic Document Management System (EDMS)
  • Liaise with project teams, contractors, and external stakeholders to ensure the timely delivery and receipt of all required documents.
  • Ensure all project documents are up to date and distributed to relevant parties within agreed timeframes.
  • Report on the status of documents to the Project Team and wider business.
  • Actively engage in Company Inductions and other training initiatives
Key outcomes:
  • Improved accuracy of the company’s project Document Control system
  • Reduction in document handling & release timescales
  • Achievement of Departmental and Company Key Performance Indicators
  • Accurate and timely preparation and communication of Reports

Knowledge & Competency:

Essential:

  • Minimum of 5 years’ work experience of working in Project Document Management
  • Good knowledge of Electronic Document Management system and relevant implementation
  • Experience in the analysis and presentation of statistical reports
  • Excellent Communication skills (Written & Verbal)
  • Ability to work as part of a dynamic team, responding to business requirements
  • Self-motivated and disciplined
  • Excellent organisational skills with a high level of accuracy / attention to detail

Desired:

  • Document Management Qualification
  • Experience in the support of an effective Project Management Office
  • Project Management Fundamentals Qualification (PFQ)
