Reporting Line:

The Cost Administrator will report directly to the Project Accounting Lead.

Role:

As the business continues to grow, we are looking for an individual who has recently graduated ,or has some experience working in a project environment, and is looking to build their career in cost management.

The Cost Administrator will assist Cost Accountants in tracking and monitoring daily project costs. They will be pivotal in ensuring that goods and service receipts are up to date, that all variation orders are captured, and in working closely with procurement to ensure that quotations and purchase orders are coded correctly and raised in a timely manner.

The role requires a highly analytical, accurate individual who works well in teams and in a high-pressure environment. The role is cross-functional and therefore requires an individual who can build and maintain effective relationships.

Key Responsibilities:
The Cost Administrator will be required to:
  • Form a close working relationship with Cost Accountants, the Project Accounting Lead, Project Manager, the Finance team and the operations and technical team
  • Ensure all financial transactions are properly recorded, filed and that reporting is reliable and accurate
  • Code, review, and verify contractual rates and approve vendor Cost Time Resource (CTR)
  • Ensure timely submission, reconcile & approve vendor invoices
  • Administrate the uplift of client Purchase Orders through business systems
  • Administrate the uplift of supplier Purchase Orders through business systems
  • Support suppliers with any queries and be the finance focal point for supplier training of the project system
  • Support the accountants in liaising with the Operations function to record accurate daily costs using the project system
  • Support the Cost Accountants with preparation and issue of their financial reporting requirements
  • Administer the documentation of procedures and processes for the Project Accounting team
  • Support continuous improvement of internal control and standard operating procedures
  • Establish a high level of credibility and manage strong working relationships with internal and external parties
  • Support the ongoing management of the ERP system and any project related system(s)
  • Perform other duties, complete additional tasks and support ad hoc projects as required
Key Outcomes:
  • To ensure all projects recording is up to date and managed to a high degree of accuracy
  • To ensure that internal policies and procedures are maintained and that these are effective
  • To support the reporting deadlines of the finance team
  • To perform month end activities in a timely manner
  • To ensure that the assets of the company are protected and safeguarded
  • To build and maintain effective relationships internally and with key business partners, including 3rd party suppliers.

Knowledge & Competency:

Essential:

  • Recent graduate or 1+ years’ experience in a similar role within a project environment
  • High level of integrity and openness combined with commitment to good governance
  • Organised, diligent, and dynamic, with the ability to manage multiple (and conflicting) workstreams to ensure successful delivery of our objectives.
  • Excellent communication skills with colleagues as well as external stakeholders (an ability to engage at all levels)
  • Team player and relationship builder
  • Ability to handle high levels of pressure
  • Understanding of ERP systems, Office 365 and Excel skills
  • Excellent verbal and written communication skills
